Job Description

Boston Public Schools seeks an Assistant Director of Operations who will manage the operations and strategic direction of the SELWell office, including the Health & Wellness Department (HWD) and the SEL Instruction Program. The Assistant Director will lead alignment and coordination of communications, professional development, school-based supports, and community partnerships across SELWell. Working with the program directors and program managers of SELWell, the Assistant Director will help to assess needs, assist with strengthening individual department systems and consult on staff and team development.

REPORTS TO: Assistant Superintendent, Office of Social Emotional Learning and Wellness (SELWell) Instruction and Policy

Background & Overview:

The Office of Social Emotional Learning and Wellness (SELWell) plays a critical role in supporting schools in the implementation of the BPS Wellness Policy, a Whole School, Whole Community, Whole Child Approach, which is a national model to link learning and health. As a district, our mission is to actively promote the health and wellness of all students to support both their healthy development and readiness to learn. SELWell is committed to supporting schools in their efforts to create safe, healthy and sustaining learning environments. SELWell provides professional development, tiered instructional coaching, assessment & data, program evaluation support, resource development and selection in the following areas: physical education, health education, social emotional learning, wellness councils, physical activity and health promotions. SELWell is a part of the Academics Division (TASSEL).

The Assistant Director's specific job duties and responsibilities include:

  1. Oversee the development of efficient and effective operations including efforts to ensure highly effective, aligned and coordinated systems, communications, professional development and school-based supports, and services.
  1. Be responsible for leading improvement initiatives for the operations of SELWell departments; develop and implement systems, policies and procedures to facilitate administration across SELWell and in coordination with other BPS central office departments
  1. Directly manage, supervise and evaluate SELWell Department staff, as assigned by the Assistant Superintendent including the HWD project coordinator; provide project management support and guidance for other SELWell administrative staff
  2. Manage and develop office workgroups; co-develop staff meeting agendas and schedules
  3. Ensure the alignment and coordination of professional development and direct school-based supports
  4. Work closely with the Assistant Superintendent to develop, execute, revise and report on the office's annual budget
  5. Develop tools, templates, processes that reflect best practices in operations and administration
  6. Communicate and manage deadlines to ensure that district reporting and administrative activities are completed in a timely manner
  7. Coordinate support for District and SELWell Office events as needed
  8. Coordinate assessment and planning of SELWell Office space, technology and other operational needs
  9. Perform any related duties as assigned

  1. Assist in developing and leading the SELWell's strategic direction and district alignment
  1. Ensures that the SELWell's strategic plan is aligned with the district's strategic implementation plan, the district Wellness Policies and other district strategic priorities and policies
  2. Coordinates efforts and develops systems to ensure that school-based supports align with the Superintendent's Strategic Implementation Plan, TASSELpriorities, SELWell's Strategic Plan and district wellness policies and goals
  3. Collaborate on the development, monitoring and implementation of SELWell's Key Performance Indicators and the performance-based management system
  4. Support completion of district or TASSEL projects as assigned

  1. Support the development of the office's sustainability plan, help secure funding, and identify and manage strategic partnerships:
  1. Work closely with the Assistant Superintendent and SELWell Directors to strategically develop the office's long-term sustainability plan
  2. Collaborate with other BPS departments and partners to identify and secure future funding opportunities to support the ongoing mission and strategic objectives of the department
  3. Work with the Assistant Superintendent to broker, maintain and monitor strategic partnerships (including communications, MOAs, and resource mapping partner supports) that align with the office's priorities

  1. Build capacity of Project Managers and Directors to effectively manage and continuously improve systems, policies, procedures, and operations
  1. Identify opportunities and co-manage the organization, planning, and delivery of staff professional development opportunities, such as staff retreats and individual staff professional development
  2. Provide technical assistance on reviewing budgets and completing district and grant progress reports; facilitate communications with TASSEL, BPS Budget, Grants, Finance to problem solve and plan
  3. Train on budget management, procurement processes, accounting, payroll, contract and invoicing systems, review of bids for services and equipment, and monitoring grant expenditures
  4. Advise on establishing contracts, reviewing bids for services and equipment, and monitoring grant expenditures

  1. Develop and implement communication strategies, processes, and tools
  1. In collaboration with the Assistant Superintendent and the Assistant Director of Wellness Policy, develop, implement and oversee an office communication strategy that fosters coordination and alignment of the office programs and awareness of district wellness-related policies and successes; identify communication goals, target audience, messaging, branding
  2. Develop systems or processes to share resources with schools
  3. Oversee development and coordination of communication systems and initiatives within SELWell
  4. Work with Directors to design branded materials and collateral including toolkits, guides, flyers, etc

Qualifications - Required:
  1. Bachelor's degree in business administration, public administration, communications, or related field
  2. 3-5 years project management experience, with knowledge of administrative policies, budget management, and supervision
  3. 3-5 years experience on a leadership team
  4. Experience managing and evaluating grant-funded public health programs
  5. Experience in leading, developing, implementing and evaluating strategic plans
  6. Experience writing and reporting on federal and foundation grants
  7. Demonstrated ability to create and manage budgets and maintain excellent records
  8. Experience developing and maintaining websites, using digital media communication strategies, and developing online training materials
  9. Strong organizational and management skills with demonstrated experience in leadership, team building, and supervision
  10. Ability to direct and evaluate the work of others, manage work plans and meet deadlines for self and others
  11. Ability to communicate effectively with excellent oral and written communication skills
  12. Ability to facilitate meetings, speak publicly, represent division, and serve as champion for strategic goals
  13. Ability to work independently, make decisions, multitask, display flexibility and creativity in problem solving
  14. Ability to motivate employees and develop strong working relationships with both staff, school personnel, and partners
  15. Proficiency with Microsoft Office, especially Excel, Publisher, PowerPoint; Google Suite
  16. Current authorization to work in the United States - Candidates must have such authorization by their first day of employment
  17. City of Boston Residency Required

Preferred Qualifications:

  1. Masters' degree in business administration, public administration, or related field
  2. 5-7 years project management experience, with knowledge of administrative policies, budget management, and supervision
  3. 5-7 years experience on a senior leadership team
  4. Experience working in or with schools, especially large school districts
  5. Understanding of district Wellness Policies, nutrition policies, PE & PA policies, and effective policy implementation strategies
  6. Knowledge of BPS systems, programs, funding, and partners (existing and potential)


TERMS: Managerial, Tier D. City of Boston Residency is Required.
