POSITION JOB DESCRIPTION
POSITION TITLE: Administrative Assistant to the Office of Human Resources
REPORTS TO: Assistant Superintendent of Human Resources, Athletics, and Safety & Human Resources Coordinator
LEVEL: Nonexempt/12 Month/Special Payroll
SALARY RANGE: $51,000.00- $55,000.00 (commensurate with experience)
Summary: The administrative assistant to the Office of Human Resources, Athletics, and Safety is a dynamic human resources professional who serves as the primary contact for the office. A positive attitude, approach, and outstanding customer services skills are essential in this challenging, high-paced, and rewarding position. The administrative assistant shall exercise considerable initiative, independent judgment, and discretion in performing office administrative assistant duties aligned to District policies, rules, and regulations. The administrative assistant will be in contact with and serve a variety of employees, applicants, teachers, families, administrators, and outside agencies.
Requirements/Qualifications:
• Associates Degree or higher
• Minimum of three (3) years administrative support at an executive level (preferred)
• Proficiency in Microsoft Office Suite: Excel, PowerPoint, Word, Outlook, etc.
• Advanced writing and grammatical skills
• Ability to follow directions
• Ability to maintain confidentiality
• Outstanding customer service skills
• In-depth knowledge of filing system
• Knowledge of human resource-related regulations, procedures, and services
• Ability to keep complex records, assemble and organize data, and prepare reports
• Ability to work independently on responsible and confidential assignments
• Ability to establish and maintain effective working relationships with others
• Ability to efficiently and effectively produce error-free documents and reports and compose error-free correspondence
• Evidence of successful work experience and strong attendance record
• Flexible scheduling of time off based upon office priorities
Essential Job Functions:
• Serves as primary contact/receptionist for the Office of Human Resources, Athletics, and Safety
• Updates and maintains information within District employee information systems as directed
• Performs background check processing such as fingerprinting, securing pertinent documents, and timely submission of materials
• Facilitates the District's volunteer application process
• Secures and distributes mail within the Office
• Assigns and tracks mandatory State training modules and materials through Global Compliance Network (GCN)
• Prepares and updates all physical and electronic employee records (date of hire, change of address/telephone numbers/name change, transfers, etc.) as directed
• Generate employment contracts and acquires necessary signatures for execution
• Effectively and efficiently executes office mailings
• Manages office supplies
• Preparation of pertinent Office of Human Resources, Athletics, and Safety documents
• Takes and transcribes meeting minutes as directed
• Maintains personnel files, file room, and confidential spaces
• Ensures security of confidential materials
• Completes employment verifications
• Prepare business requisitions and ensure timely payments
• Executes internal and external communications as necessary and/or directed
• Executes onboarding processes, including initiation of employee records, issuance of identification badges, securing pertinent new hire documents and information
• Assist with organization and execution of Office events (i.e. Retirement Dinner, Athletic Summit, recruiting events, etc.)
• Perform reference checks and reference follow up as directed
• Other duties as assigned
