  • JOB TITLE: Accounts Payable and Leaves Clerk
    LOCATION: Lower Campus
    WORK YEAR: 260 work days
    SCHEDULE: 40 hours per week, Monday - Friday. Work hours may be determined by manager and employee.
    WORK STATUS: Classified, Hourly Non-Exempt
    REPORTS TO: Chief Financial Officer

    POSITION SUMMARY:
    Responsible for the overall accounts payable functions of all District funds. Maintains various records related to expenditures and related reporting functions. Performs bookkeeping responsibilities in a computerized environment and assists with purchasing. Develops and promotes good community relations among various community and school clientele.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    ACCOUNTS PAYABLE:
    1. Performs multiple functions relating to purchase orders, including initial processing of purchase orders, monitoring of purchase orders to insure accuracy with invoices from vendors, paying or arrangement for payment, tracking for accuracy and timely payment, preparing expenditure records and reports for administration and the Board of Education, maintaining computer database of vendors.
    2. Prepare and file vendor 1099 report.
    3. Maintain vendor accounts and all records.
    4. Records all deposits in the accounting system.
    5. Serves as the primary information source for district personnel in matters of purchase orders, expenditures and expenditure reporting, budget explanations, supply orders, accounting functions, audit information and requirements, and a variety of programmatic accounts and audits, i.e. vocational education, Title I and II, grants, etc.
    6. Advises district personnel in matters of pricing, purchasing, bided purchases, and vendor decisions.
    7. Works with district auditors in the preparation of audit reports.
    8. Prepares routine accounting entries and performs other bookkeeping tasks.
    9. Collects and deposits food service receipts.
    10. Tracking of paper and postage usage.
    11. Assist with conference registrations, including financial transactions for district personnel.
    12. Performs other related duties as assigned or request.
    LEAVES:
    1. Coordinate the District leaves program according to district policy, rules and regulations.
    2. Maintain physical and computerized employee leave records to ensure accuracy.
    3. Counsel with employees and supervisors concerning leave benefits and provide employees with accurate information relating to absences.
    4. Generate and provide monthly reports to buildings and departments on staff leave balances.
    5. Track FMLA usage regarding pay.
    6. Assists payroll in entering employee usage of leaves.

    POSITION REQUIREMENTS:

    Required
    • High School diploma or G.E.D.
    • Knowledge of governmental accounting and school district procedures
    • Computer, 10 Key
    • General office equipment
    • Effective communication
    Preferred
    • One to three years in accounting and accounts payable, purchasing procedures and practices
    • Specialized classes beyond high school
    • Bilingual Spanish/English desirable.

    ESSENTIAL PHYSICAL REQUIREMENTS:
    The usual and customary methods of performing the job's functions required the following physical demands: some lifting up to 50 pounds, carrying, pushing, and/or pulling: and signification fine finger dexterity. Generally, the job requires sitting, walking, and standing. This job is performed in generally a clean and healthy environment.

    CLEARANCE:
    Must clear background check through the CBI and the FBI through Fingerprint submission.

    SALARY:
    Salary based upon Class 5 of the Specialist Salary Schedule and is $20.00 - $22.26 per hour based upon previous related experience. The annual salary for this position will be determined by number of hours scheduled to work each day and number of days scheduled to work each year. The computed annual salary will be spread out in equal payments over 12 months. Sheridan School District employees are paid once a month on the 1st working day of the month that is not a weekend day or holiday.

    BENEFITS:
    Employees who are scheduled to work 30 or more hours per week in the 2019/2020 school year are eligible to obtain district health benefits which include medical, dental, vision, life and disability insurance and supplemental benefits. Positions that qualify for health benefits also qualify for leave which could include vacation and daily leave to be determined by the position and number of days assigned. Sheridan School District No. 2 is a public employer and participates in the Colorado Public Employees' Retirement Association (PERA). All employees are required by state statute to contribute 8.75% of salary on a pre-tax basis to PERA. The District contributes 20.4% in addition to employee contribution.
