Secretary to the Assistant Superintendent

Qualifications:
  • High School diploma with postsecondary training preferredAdvanced Secretarial Skills, minimum of two years' experience, preferred.
  • Advanced Computer SkillsStrong interpersonal skillsAbility to effectively operate personal computers, calculators, copiers, fax machines, typewriters.Workable knowledge and experience in business software (i.e. MS office, GOOGLE, etc.), and ability to learn and maintain information for data collection programsAbility to work well under pressure, and organize work to meet multiple deadlines.Must be able to do multiple tasks simultaneously with a consistently cheerful and professional attitude.Ability to take the initiative in work areas and work cooperatively with peers.Ability to understand the functional tasks of other district employees.

Responsible to: Assistant Superintendent

Duties:
Meets high standards in completing office duties; i.e., preparing correspondence,
memos, reports, scheduling of appointments, phone management, maintaining
curriculum and grant files and providing superior customer service.

Curriculum and Secretary to Assistant Superintendent Duties:
  • Prepares notices of meetings, agendas, and minutes of standing team meetings related to the Assistant Superintendent's areas of responsibility.Assists with major projects for the areas of instruction, curriculum, federal programs, assessment, and technology.Updates the curriculum budget on a monthly basis.Develop and maintain Google site for Curriculum Instruction and Assessment.Manage and maintain Assistant Superintendent's schedule, reminders and tasksAssists in enrolling new students and transfer of students between schools.Creates and compiles needs assessments surveys and reports.Develops proposals and maintains files for professional development including programs explanations, attendance summaries, time schedules, program and travel evaluations and credit requests to University of Wyoming and to State Department of Education.Keep up-to-date records of home based education students. Send out annual notices to home based education parents.


Federal Grant Duties:
  • Request, collect, and organize data and reports for the federal programs monitoring of the district as prescribed by the Wyoming Department of EducationAssist district administrators to prepare for the WDE federal programs monitoring and program audit.Organize files for program audits, including student files, personnel files, and fiscal files.Generate and maintain purchasing documents for federal programs, including purchase orders, credit card expenditures, invoices, and evaluation documentation.Monitor expenditures of budgets including materials, personnel costs, staff development, technology, and parent programs.

General Requirements:
  • Represent the office in person or on the telephone in a highly professional/ethical manner at all times.Demonstrates the ability to assume responsibility without direct supervision, exercise initiative and judgment, and make decisions within the scope of assigned authority.Strictly maintaining confidential information of district student/staff information and of potential or existing legal issues is mandatoryAssists other personnel, as may be required, for the purpose of ensuring an efficient and effective work environment.

Front desk functions:
  • Greeting visitors and assisting or referring to correct C.O. staff memberAnswering incoming phone calls and directing to correct C.O. staff member
  • Performs other duties identified as assigned.

Job Requirements: Minimum Qualifications
Skills, Knowledge and Abilities
SKILLS are required to perform technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; performing standard bookkeeping; preparing and maintaining accurate records; and using pertinent software applications.

KNOWLEDGE is required to perform basic math, read a variety of manuals and documents, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: interpersonal skills, basic accounting/bookkeeping principles; business telephone etiquette; and concepts of grammar and punctuation.

Responsibility
Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; utilization of some resources from other work units is often required to perform the job's functions. Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 70% sitting, 15% walking, and 15% standing. This job is performed in a generally clean and healthy environment.
