QUALIFICATIONS:
  • Candidate should have a high school diploma; Associates degree or equivalent job experience preferred.
  • Candidate should demonstrate ability to word process at 65 words per minute
  • Candidate should demonstrate ability to file in both alphabetic and numeric filing systems
  • Candidate should demonstrate ability to operate a computer, a calculator, copying equipment, and other equipment required to complete job assignments
  • Candidate should demonstrate ability to perform intermediate level word processing, spreadsheet, database, publication and presentation computer programs effectively in work assignments
  • Familiarity with Google Suite of tools, Naviance (e-docs), Powerschool, Papervision and the college application process
  • Candidate should demonstrate ability to maintain cooperative working relationship with office personnel, staff , parents and students

SALARY: $26.81 per hour
7 hours per day, full year

GENERAL DESCRIPTION:
The Secretary II provides direction in secretarial and basic office procedure skills to direct and maintain work flow in the office assigned. This service includes the processing of assignments and completion of reports on a timely basis, independent of supervision. To complete the assignment, the Secretary II must interpret, analyze and edit information data or communications, sometimes confidential in nature. Knowledge of Google Suite of tools, Naviance (e-docs), Powerschool, Papervision and the college application process preferred.
The ability to work within assignment deadlines, sometimes under pressure is a requirement of this position.

DUTIES AND RESPONSIBILITIES:

The Farmington High School Secretary II for the Guidance Department will be responsible for:

1. Administrative Assistance
  • Managing the work flow associated with the FHS Guidance Department
  • Coordinating all office functions associated with the Guidance Dept. office
  • Working with confidential and sensitive information in an appropriate manner
  • Working in a collaborative style with all constituents associated with the guidance department

2. Office Support and Coordination
  • Create, maintain, manage, distribute and archive student academic records
  • Create and maintain office files including the Counseling Manual
  • Supporting students and parents with questions, i.e. college applications, appointments, scholarships, referrals, working papers
  • Submitting college application materials via Naviance and troubleshooting issues with Naviance and college admissions offices
  • Scheduling and sending invitations for annual individual counseling meetings for all 10-12 th graders and their parents
  • Coordinating developmental counseling lesson schedules, college representative visits and college fair
  • Tracking students and gathering data for graduations, post-graduation and district reports
  • Performs related work, as assigned by the Director of School Counseling

3. Financials
  • Maintaining counseling budget accounts and monitoring encumberances
  • Maintaining purchase orders for guidance department
